Paste your addresses, or copy them straight out of a spreadsheet, choose your label sheet and press Make labels. You see every sheet before you print onto Avery 5160 or other label sheets with your own printer.

How to print address labels

  1. Paste your addresses with a blank line between each one, one address per line, or the address columns copied from Excel or Google Sheets. You can also open a .txt or .csv file with File.
  2. Choose your label sheet under Labels; the number is on the label package.
  3. Press Make labels and check the preview.
  4. Press Print labels. In the print window choose Scale: 100% (not “Fit to page”) and Margins: Default or None.

Print one page on plain paper first and hold it up against a sheet of labels to the light: if the addresses sit inside the labels, load the label sheets. Tick Draw label outlines to make that test easier, and untick it for the real thing.

Labels from Excel or Google Sheets, without a mail merge

Select the columns with the addresses, including the heading row, copy, and paste them here. Headings like Name, First Name, Last Name, Company, Address, Address 2, City, State, ZIP and Country are understood, and each label is put together in the usual order: name, company, street, “City, ST ZIP”. Other columns, such as email or phone, are left off; the summary above the preview says which. Without a heading row, each cell becomes a line and City, State and ZIP share one.

Other brands sold as “compatible with Avery 5160” (or another number) have the same layout, so choose that number. All of these are US Letter sheets. On A4 paper? Seven A4 sheets, from 8 to 65 labels, are in the Labels menu too: see the Avery L7160 template.

Options

  • Addresses: leave them as typed, use the USPS abbreviations (Street → St, Apartment → Apt), or spell the abbreviations out (St → Street, IL → Illinois), as wedding and formal invitations usually are. Names are never changed.
  • ALL CAPS, no punctuation: the style the Postal Service prefers for bulk mail.
  • Start at label: reuse a sheet that’s partly used. Count across, then down: on a 5160 sheet, label 4 is the first one on the second row.
  • Copies of each and Fill the last sheet: for several labels per address, or a full sheet of one.
  • Text centered or on the left. Text that’s too long for a label is made smaller until it fits; any label it still won’t fit is shaded in the preview.

Need the list in order first? Sort addresses by last name, or remove duplicates so nobody gets two cards.

Questions

Do I need Microsoft Word or a mail merge?

No. Paste the addresses, make the labels and print from your browser. Nothing to install, no template to download, no account.

Is my address list uploaded anywhere?

No. The labels are laid out and printed by your own browser; the list never leaves your computer.

My labels print a little off. What should I check?

Make sure the print window says Scale 100% (not “Fit to page” or “Shrink”), Margins Default or None, and paper size Letter. If every label is off by the same amount, your printer is feeding the sheet slightly askew: try loading the sheet again, or a test page on plain paper.

How many labels can I print at once?

As many as you like: a list of a few hundred addresses makes a few dozen sheets, and the preview shows the first two.

Can I print labels for my own return address?

Yes: use Return address labels, which fills a whole sheet with one address.
